Editor's note: This is a documentation-led edition. We have not yet run our own hands-on tests of ChatGPT or Gemini. What follows rests on official documentation, published pricing and independent studies, whose findings we cite from their published abstracts, methods and results sections. All were accessed on 16 October 2026. A tested update will follow.

Asking an AI assistant about a spreadsheet sounds like one job. In practice it is several: summarising an export, writing a lookup formula, cleaning labels, building a chart. ChatGPT and Gemini handle those jobs in different places, and the place decides what you pay, what you can check afterwards and who sees your data.

This comparison sets the documented facts side by side. It does not say which calculates more accurately, because we have not measured that. Our hub comparison, Claude vs. ChatGPT vs. Gemini, covers the wider plan differences.

In short, ChatGPT brings your spreadsheet to its own code sandbox. Gemini in Sheets works inside the file, so its output lands as formulas, tables and tabs your colleagues already share.

How ChatGPT works with a spreadsheet

Data analysis in a chat

You can upload XLS, XLSX and CSV files, and ChatGPT can summarise rows and columns, create tables and charts, and run "Python-based calculations, transformations, and statistical analysis".[1] For some tasks it writes and runs that code "in a stateful Jupyter notebook environment" and can show results as interactive tables.[1] The pricing page lists data analysis as "Limited" on Free and included on Go, Plus and Pro. Interactive tables and charts start at Plus.[5] Our ChatGPT review covers the plans in more depth.

Two constraints matter for business data. First, the sandbox is sealed:

"The Python environment used for data analysis cannot make external web requests or API calls."
— OpenAI Help Center, Data analysis with ChatGPT (October 2026).[1]

If your analysis needs live exchange rates or a database, you upload the data or connect a source first. Second, a successful upload does not guarantee a complete read. OpenAI says a file may be "too large, complex, image-heavy, or poorly structured for complete analysis," and that the number of formulas can affect processing.[1] Spreadsheets have a limit of about 50 MB, "depending on the size of each row".[10]

Charts are static images by default; bar, line, pie and scatter charts can switch to an interactive view.[1] Either way, the chart lives in the chat, not your workbook.

Connectors to Drive and SharePoint

You can attach files from Google Drive, OneDrive and SharePoint where connectors are available.[1] A personal Drive connection gives "live access only," to files your account can already open.[11] The SharePoint app covers work or school accounts, not personal OneDrive.[12] OpenAI warns that finding a Drive file's name "does not confirm" ChatGPT retrieved its contents.[11]

ChatGPT inside Excel and Google Sheets

OpenAI's add-in puts ChatGPT in an Excel or Sheets sidebar to build, update and explain workbooks, "including large, multi-tab files with formulas".[4] It is limited on Free and Go; on Plus and Pro it draws on the plan's "agentic usage limit".[4] Its chats "operate separately from your main ChatGPT chat history", have no memory, and VBA and macros "may not be fully supported".[4]

How Gemini works with a spreadsheet

Gemini in Google Sheets

The Sheets side panel can create tables and formulas, generate "data analysis and insights", build charts and act on the sheet, from pivot tables and filters to an optimisation solver.[2] Actions appear on a preview card, with Undo "available until you make further changes", and a Fix button reviews broken formulas.[2]

In January 2025, Google said Gemini in Sheets turns requests "into Python code", using formulas for some simpler questions, and works best on complex analysis in files under 1 million cells.[18] Current help pages do not repeat the cell figure, so treat it as dated.

Charts have changed since then. The 2025 post described static images.[18] Today an inserted chart goes into a new tab with its data and is "fully editable". The catch remains:

"The generated chart doesn't link or respond to changes in the original data set that was used to generate it."
— Google, Collaborate with Gemini in Google Sheets (2026).[2]

Gemini works best on native Google Sheets files. To use it on an Excel file, you save the file as a Google Sheet first.[2]

The AI function

The =AI() function generates, summarises and categorises text in cells, and can draw on Google Search.[19] It is not an analysis engine: output is text only, it "doesn’t have access to your entire spreadsheet", it cannot be undone, and it generates 350 selected cells at a time.[19]

The Gemini app

The Gemini app accepts spreadsheet uploads, up to 10 files of 100 MB each, and can chart them.[3] Its window is 32,000 tokens without a plan, 128,000 on AI Plus and 1 million on AI Pro and Ultra.[20] Its help pages do not say whether it runs or shows code on uploaded spreadsheets, so we do not claim it.

Which tier gets which feature

This is the part most buyers miss. Google lists the Sheets AI features for Business Standard and Plus and Enterprise Standard and Plus, not Business Starter; for personal accounts, Google AI Pro and Ultra, not AI Plus.[6] The Workspace pricing page agrees that Starter lacks "Gemini in Sheets", though it includes basic Gemini app access.[8]

Seeing the work: reproducibility

A spreadsheet answer is only useful if you can check how it was reached.

"When ChatGPT uses Python for analysis, review the generated code, outputs, and assumptions before relying on the result."
— OpenAI Help Center, Data analysis with ChatGPT (October 2026).[1]

In ChatGPT, the method is Python you can read, change and rerun, but the numbers do not flow back into your workbook unless you copy them. In Gemini in Sheets, Show code and Analysis steps expose the method, and inserted formulas stay in the sheet as ordinary logic.[2] But the panel forgets its conversation when you reload, and those chats are "not saved to Gemini Activity".[2]

Two printed receipts side by side, titled "What each route leaves behind", each with six matching lines. The ChatGPT receipt, data analysis in a chat: data in, an uploaded copy of about 50 MB per spreadsheet; calculates with Python it writes and runs in a sandbox with no web access; you can inspect the generated code, outputs and assumptions; charts are static images, with bar, line, pie and scatter interactive from Plus; what persists is chat history, with uploaded files kept separately in Library; training on personal plans is on until you switch it off, and off by default on Business. The Gemini receipt, side panel in Google Sheets: data stays in the Sheet, and Excel files must be saved as Sheets first; calculates with Python for complex questions and formulas for some simpler ones; you can inspect Show code, Analysis steps and any formulas it inserts; charts are added to a new tab with a copy of the data, not linked to the source range; panel history is lost on reload unless you insert the output; content is not used to train models on Workspace or Google AI plans. An orange checkpoint beneath both reads: before a number leaves the sheet, recompute it from the source.
What each documented route leaves for you to audit after an answer. Lines summarise OpenAI and Google help pages checked 16 October 2026; they are not quality ratings. Diagram: AI Chronicle.

Either way, recompute key figures before they leave the sheet. Our guide to building a growth reporting agent shows one way to keep every number traceable.

Data, privacy and Workspace terms

ChatGPT. On personal plans, new chats are not used for training once "Improve the model for everyone" is off, but a thumbs up or down can send "the entire conversation" for training.[13] The add-in stores data locally, with some logs kept 30 days, and OpenAI notes that "Microsoft may have the ability to read the content of your Excel workbook, attachments, and prompts."[4] Business and Enterprise content is not used for training by default.[13][16]

Gemini in Sheets. On Google AI plans, Gemini in Sheets "doesn't use your content to train or improve Gemini or other generative AI models".[14] For work accounts:

"Your content is not human reviewed or otherwise used for Generative AI model training outside your domain without permission."
— Google Workspace, Generative AI in Google Workspace Privacy Hub (6 October 2026).[17]

Admins set retention of prompts and responses, from 90 days to indefinite.[17]

The Gemini app is different. On a personal account with Keep Activity on, chats can improve Google's services, and some are human-reviewed and kept for up to three years.[15] On work accounts, only an admin can turn Keep Activity off.[21] Check whether your team uses the Sheets panel or the app.

Prices: what you pay for spreadsheet AI

US list prices before tax, displayed on 16 October 2026:

  • ChatGPT: Free; Go, $8 a month at its January 2026 US launch (the live pricing page shows no figure); Plus, $20 a month, billed monthly only; Business, $20 a seat billed annually or $25 monthly, for teams of 2 to 200.[22][7][16]
  • Google AI (personal): AI Plus $4.99, AI Pro $19.99 and AI Ultra from $99.99 a month. Only AI Pro and Ultra list Gemini in Sheets.[9][6]
  • Google Workspace (work): Business Starter $7, Standard $14 and Plus $22 per user a month. Gemini in Sheets starts at Standard.[8] The page shows both an annual-commitment toggle and "All plans billed monthly", so confirm the billing terms before you buy.

What independent evidence says

No independent study we found compares ChatGPT's data analysis with Gemini in Sheets as products. The closest evidence is SpreadsheetBench, an academic benchmark from Renmin University of China and collaborators.

SpreadsheetBench (NeurIPS 2024). Its 912 tasks come from real questions on Excel forums, and each answer is tested against several versions of the spreadsheet so a solution cannot be fitted to one file.[23] In 2024, GPT-4o scored about 17% to 18%. Copilot in Excel scored 20% on a small hand-tested sample, and human Excel experts about 71% on a 50-task subset.[23] The project's leaderboard now shows a top score of 70.48%, but entries use different models and set-ups, some reported by third parties.[24]

SpreadsheetBench 2 (June 2026). This version uses 321 expert-built business tasks on workbooks averaging 11.8 sheets, covering financial modelling, debugging and charts.[25] Through the same agent set-up, Claude Opus 4.6 scored 34.89% overall, GPT-5.2 26.79% and Gemini 3.1 Pro 23.68%. On debugging, the best model managed 12%.[25] The authors also hand-tested four spreadsheet products, including ChatGPT for Excel, on 30 tasks. None beat the models in the authors' own agent set-up.[25] Gemini in Sheets was not tested.

"…current systems remain far from reliable on real-world workflows."
— Zhu and colleagues, SpreadsheetBench 2 (June 2026).[25]

Read these results with care. They test models through an API with the researchers' own tooling, not the ChatGPT or Gemini apps, and the models are older than those the apps serve today. Most tasks count as correct only if every target cell matches. The pattern still matters: spreadsheet work at business scale remains error-prone, and checking matters more than tool choice. Our AI benchmarks explainer covers how to read such leaderboards.

Documented limits and risks

  • Silent partial reads. ChatGPT can accept a file and not analyse all of it; the AI function sees only the range you give it.[1][19]
  • Charts drift from data. Gemini's charts ignore later source edits; ChatGPT's live outside the workbook.[2][1]
  • Usage caps. The AI function has generation limits; the ChatGPT add-in draws on a shared allowance.[19][4]
  • Inconsistent model names. Google's subscriptions page promotes Gemini 4 Argon while its FAQ cites "3.1 Pro", and its help pages disagree on AI Plus models.[9][26]
  • Plausible but wrong. OpenAI says add-in outputs "may be incomplete or incorrect".[4] Our AI hallucinations explainer explains why.

Who each suits, and who should skip it

Reasoned from documentation, not performance.

ChatGPT

Suits: analysts who want to read the Python behind a result, work across file sources, or live in Excel, since the add-in covers Excel and Sheets on every plan.[4] Skip, or check first: anyone needing live data in the sandbox, which cannot call the web, and Free users wanting interactive charts.[1][5]

Gemini

Suits: teams on Workspace Business Standard or above whose data lives in Google Sheets and whose output should stay there.[6][2] Skip, or check first: Business Starter and AI Plus subscribers, Excel-first teams, and anyone uploading confidential sheets to the personal Gemini app with Keep Activity on.[6][2][15]

How to test it yourself

A 7-step spreadsheet test before you subscribe
  1. Use a copy of a real workbook, with personal and client data removed.
  2. Write five answers first: a total, a filtered count, a month-on-month change, one outlier and one deliberately broken formula.
  3. Set privacy first. Turn off training or use a temporary chat in ChatGPT; check whether you are in the Sheets panel or the Gemini app.
  4. Ask the same five questions in each route you would pay for, and note the plan, the model shown and the date.
  5. Open the method: read ChatGPT's code, or click Show code and Analysis steps in Sheets, and confirm the columns and filters it used.
  6. Change one source cell and see what updates: formulas, charts, nothing.
  7. Time your checking. Record minutes spent verifying, not only minutes saved. Our guide to measuring AI productivity explains why.

A worked example (hypothetical)

This scenario is invented to show how the documented facts narrow a choice. No product was tested and no results are reported.

Noor runs finance for a six-person agency on Workspace Business Starter. She wants a monthly variance summary and chart for the partners.

Tier first. Starter lacks Gemini in Sheets; moving six users to Standard adds $42 a month at list prices.[8] Two ChatGPT Business seats cost $40 a month billed annually, or $50 monthly.[16]

Then test. She runs last quarter's three exports through both, answers known in advance, and counts the minutes spent checking before choosing.

Questions readers commonly ask

Which is better for spreadsheets, ChatGPT or Gemini?

We don't name one. We haven't tested them, and the newest independent benchmark mostly tested models through an API, hand-tested only a few products, and did not include Gemini in Sheets.[25]

Can I use Gemini in Google Sheets for free?

Not the side panel or the AI function. Both need Workspace Business Standard or above, or Google AI Pro or Ultra.[6] Free accounts can upload spreadsheets to the Gemini app instead.[3]

Can I use ChatGPT inside Google Sheets?

Yes. OpenAI's ChatGPT for Excel and Google Sheets add-in installs from the Google Workspace Marketplace and works on every plan, with limited use on Free and Go.[4]

Does either one train on my spreadsheet?

Gemini in Sheets does not, on Workspace or Google AI plans.[14][17] ChatGPT may on personal plans unless you turn training off, and does not by default on Business.[13]

The next step

An answer with code attached can still be wrong. Our explainer on why plausible AI answers fail sets out the checks that catch confident errors before they reach a report.
